3) How we collect personal information
We collect personal information in a few ways, including when you:

Submit forms or enquiries on our website (Wix) or via Google Forms

Enrol and book sessions (Wix and/or Udio)

Pay online (Stripe and/or Udio) or by bank transfer (where arranged)

4) Why we collect and use personal information

Keep Athletes safe (including understanding medical needs relevant to participation, responding to incidents, and contacting emergency contacts)

Promote RISE and our programs (marketing communications and photos/videos, subject to your choices where applicable)
5) How we store and secure personal information
We take reasonable steps to protect personal information from misuse, loss, unauthorised access or disclosure.
In practice, this includes:

Using reputable platforms and service providers for website, bookings and payments (Wix, Udio, Stripe)

Storing documents and records in Google Drive with access controls

Limiting access to personal information to people who need it to do their job (e.g., admin staff, coaches/contractors as required for delivery and safety)

Using passwords and account security features available in our tools
No system is 100% secure, but we aim to use sensible, practical safeguards.

We do not sell personal information.
7) Overseas storage and processing
Some of the tools we use may store or process data on servers outside Australia. This means personal information may be stored or processed overseas by those providers as part of providing their services. We do not specify countries because this can change depending on provider arrangements.
8) Access and correction
You can request access to personal information we hold about you or your Athlete, or ask us to correct it if it’s inaccurate, out of date, incomplete, irrelevant or misleading.

9) Complaints

We will review your complaint and respond within a reasonable time. If we can’t resolve it promptly, we will let you know what steps we’re taking.
10) Cookies, analytics and pixels
Our website may use cookies and similar technologies to operate properly and help us understand how visitors use our site.
We use tools such as Google Analytics and Meta Pixel to measure website usage and advertising performance.

12) Photos/videos at sessions (automatic consent with opt-out)
RISE may take photos and videos during sessions and camps.

Automatic consent: By attending a session or camp, you acknowledge that photos/videos may be taken and used by RISE for promotional and marketing purposes (for example, on our website, social media, newsletters, or ads).

Opt-out: If you do not want your Athlete to appear in marketing materials, you must email letsplay@riseyouthbasketball.com before the relevant session/camp. We will make reasonable efforts not to intentionally feature your Athlete.

Incidental background capture: We cannot guarantee your Athlete will never appear in the background of group footage (e.g., wide shots). If you opt out, we will avoid intentionally featuring your Athlete.
13) Children’s privacy
Our services are designed for children, but enrolments are made by parents/guardians. We collect children’s information only as needed to deliver programs safely and effectively (including emergency contacts and relevant medical information provided by the parent/guardian).
We expect parents/guardians to provide accurate information and to have permission to provide any third-party details (such as emergency contacts).
14) Data retention
We keep personal information for as long as we reasonably need it to:

deliver and administer services,

maintain records for operational and safety purposes,

respond to enquiries and complaints, and
-
meet our administrative requirements.
When information is no longer needed, we take reasonable steps to delete it or de-identify it, where practical.
